What AI tools do well

Automated categorization is genuinely good at repeat transactions: the same software subscription every month, the same supplier, the same payroll provider. Bank feeds plus rules can clear most of a simple business's volume without anyone touching it.

For a solo business with one account and predictable spending, an AI-first tool can be enough, as long as someone checks the result before it reaches a tax return.

QuickBooks Online and Xero have their own versions of this automation built in: bank rules, suggested categories and matching of payments to open invoices. Much of what an AI bookkeeping service sells is a layer on top of those features, so the real difference between providers is who reviews the output and who answers when something looks wrong.

Where a human bookkeeper still matters

The transactions that cause tax problems are exactly the ones automation handles worst.

  • Transfers that could be a loan, an owner draw or a payment to another entity.
  • Accruals and prepaid expenses that belong to a different month than the cash.
  • Payroll journal entries, taxes and benefits split across accounts.
  • Vague bank descriptions, refunds and partial payments.
  • Reconciling to the statement when a feed dropped or duplicated transactions.

Rotating team or the same people

Some services route your books to whoever is free that week. Others keep the same people on your file. The difference shows when a question comes up about something from three months ago.

Ask any provider, including us, who will work on your books each month and how questions reach them. A good answer names a process: how a question from you gets to the person who did the work, and how quickly you hear back during the close.

Provider stability matters

Two well-known automated bookkeeping providers ran into trouble recently. Bench told customers in December 2024 it was shutting down before it was acquired by Employer.com, and Botkeeper, which served accounting firms, announced a wind-down in February 2026.

The protection is the same either way: keep your books in your own QuickBooks Online or Xero subscription, not in a provider's closed platform, so they survive any provider.

How to choose

A few questions settle it.

  • How complex are your transactions: payroll, inventory, loans, several entities?
  • Who checks the automated work before your financial statements go out?
  • Do you own the file the books live in?
  • What does it cost at your volume, including cleanup of past months?
