Security and confidentiality

How we handle your financial data

SF Business Solutions works inside your own QuickBooks Online or Xero account, as a user you invite and can remove at any time, rather than copying your books into other systems.

That keeps your data in your account and access in your hands.

You control access

In QuickBooks Online and Xero, you invite us as a user. You can see exactly who has access and remove it whenever you want. Your data stays in your own account, not in a copy we hold.

Bank and card transactions reach your books through the software's own bank feeds, so a bookkeeper working this way has no need for your online banking password.

More detail
Where your data lives

Your books stay in your QuickBooks Online or Xero account, on Intuit's or Xero's systems. If we ever part ways, you remove our user and your books remain exactly where they were, with nothing to hand back.

For CPA firms: Section 7216

If you send tax return information to a preparer outside the United States, Section 7216 of the tax code generally requires your client's written consent first. Our data security page for CPA firms explains what that means in practice, and we can work entirely inside your firm's own systems.

What to ask any bookkeeping provider

Whoever you hire, ask the same five questions: Do you work in my software or copy my data out? Who, by name, can see my books? How do documents move between us? What do you sign about confidentiality? How do I remove your access if we part ways? A provider that answers each one plainly is one you can check. We answer all five on the consult.

How to start

Three steps. The first one is free.

  1. 1

    Book a free consult

A 1-hour call about your books, your software and what you need.

  2. 2

    Give us access

Invite us to QuickBooks Online or Xero and share your bank and card statements.

  3. 3

    We take it from there

Cleanup first if you are behind. Then we close each month between the 5th and 15th of the following month, depending on your documents.

Great job, did everything we needed. Always works very hard to make sure everything is accurate. Thank you!!

All questions →
How should I give an outsourced bookkeeper access to QuickBooks safely?

Invite them as their own user from your QuickBooks Online settings instead of sharing your login. You'll see their access and can remove it at any time.

Is offshore bookkeeping safe?

It can be, when the provider works inside your own software, access is limited to named people, and you can remove it yourself. Ask any provider, including us, to show you each of those.

Does a bookkeeper need my online banking password?

No. Transactions reach QuickBooks Online or Xero through bank feeds, so no bookkeeper should ask for your banking password.

What happens to my data if I stop using you?

It stays in your own QuickBooks Online or Xero account. You remove our user access and your books remain exactly where they were.

How do offshore accounting providers keep client data secure?

The good ones work inside the client's or firm's own systems, limit access to named staff, avoid emailing files and put confidentiality in writing. Ask any provider to show you each of these.
