Offshore Bookkeeping for US Small Businesses: Cost and Safety

Offshore bookkeeping is usually cheaper, about $10 to $25 an hour against $40 to $75 for US-based bookkeepers according to one provider's 2026 pricing guide, and it can be safe when the work happens inside your own accounting software with access you control. The risk is not the country. It is how the provider handles your data, who does the work and whether you can take your books back at any time.

What it costs

Published offshore rates, as of September 2026: one provider's guide quotes $10 to $25 an hour offshore against $40 to $75 for US-based bookkeepers, and $1,200 to $2,500 a month for a full-time offshore staff member depending on the country. The Fino Partners lists a full-time junior bookkeeper at $1,800 a month.

Most small businesses do not need a full-time person. A monthly bookkeeping plan, onshore or offshore, is usually the better value until your volume fills a full working week.

Offshore full-time roles also climb with seniority. The Fino Partners lists a senior accountant at $2,300 a month and a financial controller at $3,500 a month, so compare the role you actually need, not only the lowest rate on the page.

Onshore, offshore or a mix

The choice is rarely all or nothing. Many providers are US companies whose teams work from several countries, and many US firms send routine work offshore while keeping review and client contact in the US. What matters to you is the contract and the controls, not the address of each person.

Read the contract for three things: which country's law governs it, how and when your data is returned or deleted at the end, and who is responsible if an employee of the provider makes a mistake. If a provider cannot answer those clearly, the low hourly rate is not a saving.

What makes it safe, or not

The Federal Trade Commission's guide for businesses boils data protection down to five steps: know what personal information you have, keep only what you need, lock it, dispose of it properly, and plan for a breach. Apply those to any bookkeeper, wherever they are.

  • The books live in your own QuickBooks Online or Xero file, and the bookkeeper has a user login you can remove.
  • Bank data arrives through read-only feeds. You never share a banking password.
  • Documents go through a secure portal, not email attachments.
  • You can export everything at any time, and you keep records for as long as the IRS requires (three to seven years for most records).

Questions to ask any provider

Get the answers in writing before you connect a single account.

  • Where is the company registered, and which law governs the contract?
  • Who will work on my books, and are they trained in US bookkeeping and tax forms?
  • How do staff access my data, and how is that access removed?
  • What written confidentiality terms do you sign with clients?
  • What happens to my data when the engagement ends?
  • When is last month closed, and what reports do I get?

All questions →
Is offshore bookkeeping cheaper for a US small business?

Per hour, yes: about $10 to $25 offshore against $40 to $75 onshore, per one provider's 2026 guide. For a small business, compare monthly plan prices rather than hourly rates.

Is offshore bookkeeping safe?

It can be. Safety comes from how access and data are handled: your own software file, read-only bank feeds, removable logins and written confidentiality terms.

Will I lose control of my financial data?

Not if the books stay in your own QuickBooks Online or Xero account. You add the bookkeeper as a user and can remove them at any time.

What should I never share with a bookkeeper?

Your online banking password. Bank data should come through read-only feeds connected to your accounting software.

Do offshore bookkeepers know US tax rules?

It varies by provider. Ask who will work on your books, what US training they have, and who reviews their work.

Is SF Business Solutions an offshore company?
