What moves your real price
Starting prices fit simple books. These are the things that move a quote up from there.
- Transactions per month: the biggest single driver of time
- Bank, credit card and payment accounts: each one is reconciled every month
- Entities: each company or LLC needs its own set of books
- Cash or accrual basis: accrual books need month-end adjustments
- How far behind the books are: this sets the final cleanup price
What the estimate leaves out
Payroll, sales tax filings and the tax returns we prepare and file depend on headcount, states and the returns you need, so they are quoted separately. Inventory and job costing add work that the calculator can only approximate.
The estimate also assumes your books are reasonably clean. If categories have been used inconsistently for years, or opening balances are wrong, the first months take longer. That shows up as cleanup work, not as a higher monthly price.

Cleanup first if you are behind. Then we close each month between the 5th and 15th of the following month, depending on your documents.

How accurate is the estimate?
It's a starting point. The final price depends on things a form can't see, like how clean your books are and how you use your software.
Why does transaction volume matter so much?
Every transaction has to be categorized and every account reconciled, so volume is the best single measure of the monthly work.
Does being behind on my books cost more?
Catching up is cleanup work, which starts at $250; the final price depends on how far behind the books are. Once you're current, the monthly price applies.
Is payroll included in the estimate?
No. Payroll is quoted separately because it depends on headcount, pay frequency and the states you run payroll in.
