For CPA and accounting firms

White-label bookkeeping your clients never see

With white-label bookkeeping, SF Business Solutions keeps your clients' books every month and your firm delivers the result under its own name.

We work in your clients' QuickBooks Online or Xero files, close each month, and send you the reconciled books to review, billed at $12–$15 an hour.

How white-label bookkeeping works

Your firm keeps the client relationship, the engagement letter and the fee. We do the bookkeeping behind you. Clients talk to your team; questions we have about their transactions come to you, or go to the client in your firm's name if you prefer.

Each month we code transactions, reconcile every bank, card and loan account, post the adjusting entries you approve, and prepare the monthly financial statements. You review and send them on.

More detail
Do your clients know?

Only if you tell them, and in most cases you should. The AICPA Code expects you to tell clients, preferably in writing, before their confidential information goes to a third-party provider, and a line in your engagement letter usually covers it. What clients do not see is our name: reports, emails and portal access stay in your firm's name.

When it makes sense

White-label bookkeeping fits firms that have more monthly bookkeeping clients than staff, firms that want to start client accounting services without hiring first, and solo CPAs who want to spend their hours on tax and advisory work instead of reconciliations.

It is also a way to take over a block of clients quickly, for example when a staff member leaves in the middle of the year. Moving clients over in stages is usually safer than moving them all at once.

  • You have 20 to 50 monthly clients and not enough people to close them on time
  • You want to launch client accounting services and price them before hiring
  • You are a solo practitioner and bookkeeping is crowding out tax work
Pricing and margin

We bill firms by the hour at $12–$15, so the cost of each client follows the work its books actually need. You set your own fee to the client. Your margin is the difference, less the time your team spends reviewing, which falls as the work settles into a routine.

Software we work in

We work directly in QuickBooks Online and Xero; the team holds QuickBooks Online Certified ProAdvisor, QuickBooks Online Advanced, Xero Advisor and Xero Payroll certifications. You add us as a user on each client file, so access can be removed at any time.

How to start

Three steps. The first one is free.

  1. 1

    Book a free consult

A 1-hour call about your books, your software and what you need.

  2. 2

    Give us access

Invite us to QuickBooks Online or Xero and share your bank and card statements.

  3. 3

    We take it from there

Cleanup first if you are behind. Then we close each month between the 5th and 15th of the following month, depending on your documents.

All questions →
How much does white-label bookkeeping cost?

We bill CPA firms $12–$15 an hour, so each client costs what its books take. You set your own fee to the client.

Will my clients know you do the work?

They will not see our name. You should still tell them in your engagement letter that a third-party provider helps with the work, as the AICPA Code expects.

Do you work in QuickBooks Online and Xero?

Yes, both. You add us as a user on each client file and can remove that access at any time.

Can you take over 40 monthly clients?

Tell us how many clients you have and which software they are in, and we will plan the handover with you. Moving clients in stages is usually safer than all at once.

Is white-label bookkeeping worth it for a solo CPA?

Often, yes. It frees your hours for tax and advisory work, and you pay only for the hours the work takes.
