Should You Do Your Own QuickBooks or Pay a Bookkeeper?

Doing your own QuickBooks makes sense with one bank account, a few dozen transactions a month and an hour a week to spare. Once you have payroll, inventory, several accounts or a lender asking for statements, a bookkeeper usually costs less than your time plus the cleanup that follows mistakes. QuickBooks Online itself costs $38 to $340 a month as of September 2026, and monthly bookkeeping with SF Business Solutions starts at $250 a month.

What the software does, and what it doesn't

QuickBooks Online pulls in bank and card transactions, suggests categories, sends invoices and produces reports. It does not know whether a transfer is a loan payment or an owner draw, whether a vendor bill belongs to last month, or whether your balance sheet actually ties to your bank statements.

That judgment is the bookkeeping. Software makes the typing faster; it does not make the decisions.

The usual result of doing it yourself is not a disaster in any single month. It is a slow drift: a few transactions parked in uncategorized, a card that stopped reconciling in spring, a loan payment booked entirely as an expense. Each is small; together they change your profit, and your tax preparer finds them in March.

The real cost of doing it yourself

Intuit lists QuickBooks Online at $38 a month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced, as of September 2026, with promotional discounts for new customers. That is the visible cost.

The hidden cost is your time. Example: if the books take six hours a month and your time is worth $75 an hour, doing it yourself costs $450 a month before the software. Add the cost of fixing a year of miscategorized transactions at tax time, and the gap widens.

Signs you have outgrown doing it yourself

Any two of these usually mean it is time to hand the books over.

  • You are more than a month behind on reconciliations.
  • You run payroll, or have contractors who need 1099s.
  • You carry inventory or bill customers on terms.
  • A lender, investor or partner has asked for financial statements.
  • Your tax preparer charges extra to clean up your file every year.

QuickBooks Live or a bookkeeping firm

Intuit sells its own bookkeeping service, QuickBooks Live, with cleanup and ongoing bookkeeping inside your QuickBooks file. Its page does not publish prices; Intuit quotes after a consultation.

A bookkeeping firm does the same core work and can also handle payroll, accounts payable and receivable, and preparing and filing the tax return. SF Business Solutions does all of these; monthly bookkeeping starts at $250 a month, and cleanup starts at $250.

A middle path: keep your file, add a bookkeeper
