A conversion copies whatever is in the Desktop file, including its mistakes. Fixing them before the move is faster than fixing them in two systems.
- Reconcile every bank, card and loan account up to the conversion date.
- Clear old items in undeposited funds, and review open invoices and bills.
- Check payroll liabilities and sales tax payable against what was actually filed.
- Back up the Desktop file and save a trial balance and balance sheet as of the conversion date.
Choosing a QuickBooks Online plan
Intuit lists four plans as of September 2026: Simple Start at $38 a month for one user, Essentials at $85 for three users, Plus at $140 for five users with inventory and projects, and Advanced at $340 for 25 users. Every plan includes accountant users for your bookkeeper.
Pick for the features you use today in Desktop, especially inventory, classes and job costing, since moving down a plan later can mean losing data those features hold.
The conversion itself
Intuit provides the path from Desktop Pro and Premier to QuickBooks Online and publishes what converts. Read that list for your version before you start; some settings, templates and reports have to be rebuilt by hand in Online.
Pick a clean cut-off, usually a month-end or year-end, so there is one clear date where Desktop stops and Online starts.
Tell your team the date in advance. The most common migration mistake is someone entering invoices or bills in Desktop after the cut-off, which then never reach Online. Once Online is live, keep the Desktop file read-only as your archive for the years before the move.
Checks after the move
Do not start new work in Online until these pass.
- The trial balance in Online matches the Desktop trial balance at the cut-off date.
- Open invoices and bills match, customer by customer and vendor by vendor.
- Bank feeds are connected from the cut-off date only, so transactions are not duplicated.
- A closing date is set so converted history cannot be changed by accident.
