A good freelancer is often the best value for a simple business: one bank account, a card, modest volume and an owner who answers questions quickly. You deal with one person who learns your business.
The risk is concentration. If that person gets sick, takes on too many clients in March or stops freelancing, your books stop too, and nobody else knows where things stand.
If you do hire a freelancer, protect yourself the same way you would with a firm: keep the books in your own QuickBooks Online or Xero subscription, agree a monthly close date in writing, and ask for the reconciliation reports each month so you can see the work is being done rather than taking it on trust.
What a firm adds
A firm spreads the work across a team, so a close still happens when one person is out. It usually has set processes for onboarding, month-end and year-end, and more than one person who knows your file.
Firms also tend to cover more ground: payroll, accounts payable and receivable, cleanup and the tax return, instead of bookkeeping alone. Local or online

What matters more than location is responsiveness, a clear monthly deadline and whether you can see the work in your own software. For reference, the BLS median pay for employed bookkeeping clerks is $24.36 an hour as of May 2025; freelancers set their own rates above or below that.

- When will each month be closed, and what do I get when it is?

- What happens to my records if we stop working together?
- Can I see reviews from clients with a business like mine?
Red flags
Walk away from anyone who does these.
- Keeps your books in software only they can log into.
- Cannot say when the month will be closed.
- Asks for your online banking password instead of a read-only feed or accountant access.
- Has no references or reviews you can check.
Is it safe to hire a bookkeeper on Upwork?
