Accounting Today reported on February 9, 2026 that Botkeeper had announced its shutdown. The company said industry consolidation had hit its largest clients and its revenue, and that it had not reached strong enough product-market fit to withstand those shifts. If your firm used it, the first job is making sure every client's ledger, rules and documents sit in systems you control.
The four alternatives
Each option replaces a different part of what Botkeeper did.
- Close-management software you run: for example, Double (formerly Keeper) describes AI bank feeds and transaction coding, a branded client portal and two-way sync with QuickBooks Online, Xero, Sage and NetSuite. - Offshore staff: a dedicated person who works for your firm. Published prices as of September 2026 start around $1,400 a month at Madras Accountancy and range from $1,800 to $3,500 a month by role at The Fino Partners.

- Hiring in-house: the most control, and the highest cost. The median US wage for accountants and auditors was $83,680 a year in May 2025, before benefits.
How to choose
If Botkeeper mainly saved your team typing, software is the closest replacement. If it replaced people's time on whole clients, a white-label partner or offshore staff fits better, because they deliver the finished month rather than tools. Many firms combine the two: software for the routine coding, people for reconciliations, adjustments and the close.
Whichever you pick, check two things before you commit: that client data stays in ledgers and document stores your firm controls, and that you can leave without losing history. The lesson of a vendor shutting down is that the books themselves should never depend on one provider staying in business.
Moving clients over without losing a month
Plan the move client by client rather than all at once.
- List every client, where its books live, and when its last month was closed.
- Export or document bank rules, recurring entries and the chart of accounts for each client.
- Move the simplest clients first and check the first close line by line.
- Tell clients only what changes for them, such as a new portal or document request.
- Keep your own review step until the new setup has closed two or three months cleanly.
