Bookkeeping for small businesses that would rather not do it themselves

SF Business Solutions does what a US small business usually hires a CPA for: bookkeeping, payroll, tax planning, and tax returns prepared and filed, all remotely in QuickBooks Online or Xero.

You get reconciled accounts and a monthly P&L, balance sheet and cash flow statement, usually between the 5th and 15th of the following month, depending on when your documents arrive. Monthly bookkeeping starts at $250 a month.

What we take off your plate

Most owners come to us when the books have become the job they do at 11 p.m., or when a tax deadline is close and the numbers aren't ready. We take over the recurring work: coding every transaction, reconciling every bank and card account, tracking what customers owe you and what you owe vendors, and closing the month.

When the month is closed, usually between the 5th and 15th of the following month depending on when your documents arrive, you get three reports: a P&L, a balance sheet and a cash flow statement.

Who does the work

Your books are handled by accountants on our team, not software alone. Software pulls in the bank feeds and suggests categories; an accountant decides, reconciles and reviews.

The team holds QuickBooks Online Certified ProAdvisor, QuickBooks Online Advanced, Xero Advisor and Xero Payroll certifications.

When outsourcing makes sense, and when it doesn't

Outsourcing usually makes sense once you have regular transactions every week, employees or contractors to pay, or a lender or investor who needs clean numbers. It is also the fastest fix when the books have fallen months behind.

It makes less sense if you have a handful of transactions a month and enjoy doing them yourself in QuickBooks. In that case a one-time setup and a yearly review may be all you need, and we will tell you so.

  • Pros: someone accountable for the books, reconciled accounts every month, reports you can hand to a lender, your tax return from the same team, less of your time
  • Cons: a monthly fee, and you need to answer questions about unclear transactions
LLCs and S corporations

A single-member LLC needs its business money kept apart from personal money, clean records of owner contributions and draws, and a Schedule C or entity return at year end. An S corporation adds payroll for the owner, shareholder distributions tracked separately from wages, and Form 1120-S. We set up the chart of accounts for your entity type, and at year end we prepare and file the return.

Can you do bookkeeping for my small business remotely?

Yes. All of our work is remote. We connect to your bank and card feeds in QuickBooks Online or Xero and work from there.

Do I get a dedicated bookkeeper or a rotating team?

Your books are handled by our team, which includes one licensed CPA and holds QuickBooks and Xero certifications. If you want one person working only on your business, a full-time accountant starts at $1,500 a month.

Do real people do the bookkeeping, or is it AI?

Real accountants. Software helps with bank feeds and suggested categories, but a person codes, reconciles and reviews your books.
