White-label bookkeeping software: what firms actually use

There is no single piece of white-label bookkeeping software.

Firms deliver bookkeeping under their own brand with a ledger their clients keep (QuickBooks Online through the free Intuit Accountant Suite, or Xero through the free Xero partner programme), a practice-management layer such as Karbon or Financial Cents for workflow and client requests, and people to do the work. SF Business Solutions is the people part: we work inside your firm's systems, under your firm's name, at $12–$15 an hour or a full-time accountant from $1,500 a month.

Both ledgers give accounting firms a free portal to manage client books. Intuit's firm product, now called the Intuit Accountant Suite, has a free Core tier; its paid Accelerate tier is $0 a month during its beta and is published at $149 a month from 20 January 2027, with a Books Close add-on at $8 per onboarded client a month up to 50 clients, and $6 above that, from 21 January 2027. The ProAdvisor programme is free to join, and its tiers are earned with points rather than bought.

Xero's partner programme is also free, with no ongoing cost, and asks that one person in the practice completes Xero advisor certification within 30 days. Bronze partners and above become eligible for subscription discounts; Xero does not publish the discount percentages or the point thresholds, so ask your account manager rather than trusting a number you read elsewhere.

Keep the subscription in the client's name even when you bill it on. A client who cannot take their own file with them is a client who feels trapped, and that is the first thing a competitor will point out.

Firm-facing software changes hands fast, and a tool that disappears takes your workflow with it. Botkeeper shut down as a company in February 2026, and Xendoo says it acquired Infinite, the core technology Botkeeper built. Keeper rebranded to Double in October 2025 and no longer publishes a per-client base price.

Before you build a service line on any platform, ask what happens to your data and your clients if the vendor is acquired, and keep the books themselves in a ledger the client owns. That way a vendor change costs you a workflow, not a client.

Software is not the white-label partNone of these tools do the bookkeeping.

None of these tools do the bookkeeping. They hold the file, route the work and chase the client. Somebody still has to code the transactions, reconcile the accounts, ask the awkward question about the owner's card and close the month.

That is the constraint most firms hit: the software is cheap and the capacity is not. Hiring in-house means recruiting, training and covering the person's holidays, and the work still has to be reviewed.

Our team holds the QuickBooks Online Certified ProAdvisor, QuickBooks Online Advanced, Xero Advisor and Xero Payroll certifications, and includes a licensed CPA. The honest drawback is that we publish no SOC 2 report, so if your firm's security policy requires one, raise it before we start. If any of the work is tax return preparation handled outside the United States, your client has to sign a Section 7216 consent first.

Is there software that does white-label bookkeeping on its own?

No. Ledgers and workflow tools carry the work; a person still does it. White-label bookkeeping is a staffing arrangement wrapped in your firm's brand.

Does QuickBooks Online Accountant cost anything?

The Core tier of the Intuit Accountant Suite is free, and the ProAdvisor programme is free to join. The Accelerate tier is published at $149 a month from 20 January 2027.

Is the Xero partner programme free?
